Customer Service Outsourcing Cost and Pricing (2026)

Bar chart comparing the monthly cost of an in-house customer service hire (about $3,700) with an outsourced dedicated agent ($399)

Outsourced customer service costs about $6 to $10 an hour for offshore agents and $20 to $35 an hour for US-based agents. For a small online store, that usually adds up to a few hundred to a few thousand dollars a month. At Assistify, a dedicated agent for email or live chat support costs $399 a month, 8 hours a day, Monday to Friday.

Most providers keep their customer service outsourcing pricing hidden until you’ve had a sales call. This guide gives you the numbers first, so you know what’s reasonable before you talk to anyone, including us.

The short answer

For a small or mid-size online store, outsourced customer service usually costs somewhere between a few hundred and a few thousand dollars a month. Where you land depends on three things:

  • Where the agents are. Offshore teams cost much less than US-based ones.
  • How many hours you need covered. One 8-hour weekday shift costs far less than 24/7 cover.
  • Which channels. Phone support usually costs more than email or live chat, because one agent handles fewer calls than chats.

How customer service outsourcing pricing works

Providers charge in one of three ways, and each one changes what you end up paying.

1. Per hour

You pay for each agent hour. It’s simple, but a quiet hour costs the same as a busy one. In Helpware’s guide to ecommerce outsourcing, offshore agents are quoted at about $6 to $10 an hour and US-based agents at about $20 to $35 an hour.

2. Per ticket or per conversation

You pay for each email, chat or call handled. This suits stores whose volume swings a lot. The catch is that your bill rises exactly when you’re busiest, such as in November and December, and some providers count a follow-up reply as a new ticket.

3. A fixed monthly price for a dedicated agent

You pay a flat monthly fee for one agent who works only on your store, for set hours. Your costs are predictable, and the agent gets to know your products, policies and tone of voice. This is how we work.

What does hiring in-house cost?

The easiest way to judge the cost of outsourcing customer service is to compare it with hiring your own person. The median wage for a customer service representative in the US is $21.53 an hour, or $44,770 a year (BLS data, May 2025). For 8 hours a day, Monday to Friday, that comes to about $3,700 a month, before you add payroll taxes, benefits, equipment, training time and cover for sick days and holidays.

For a store getting 30 to 50 customer messages a day, that’s a lot to spend on support, which is why most small brands either answer customers themselves or outsource.

What we charge

We publish our prices because we think you should be able to compare without a sales call. Every plan gives you one dedicated agent for 8 hours a day, Monday to Friday, at the hours you choose:

  • Live chat support: $399 a month, for around 50 chats a day
  • Email support: $399 a month, for around 50 emails a day
  • Phone support: $499 a month, for around 20 calls a day
  • Store management: $499 a month
  • All four together: from $1,299 a month

The daily volumes are a guide, not a limit. If you get 60 emails one day, all 60 get answered. Longer hours, weekends and 24/7 cover are priced on a custom quote. You can see the details on our pricing page. Selling on Amazon or eBay? A dedicated Amazon virtual assistant starts at $499 a month too.

Hidden costs to ask about

The monthly price isn’t the whole story. Before you sign anything, ask every provider these questions:

  1. Is there a setup or onboarding fee? Some charge one. We don’t.
  2. Is there a minimum contract? Six or twelve months is common. Ours is month to month.
  3. What happens above the volume in my plan? Look out for charges for each extra ticket.
  4. Who pays for the tools? Help desk seats in Gorgias or Zendesk cost money. With most providers, including us, you keep paying for your own tools, so add them to your budget.
  5. Is my agent shared? A cheap price sometimes means one agent covering several stores at once.

How to choose

Start by counting a normal week: how many emails, chats and calls come in, and at what times. Then cover the busiest hours first. Most small stores don’t need 24/7 support. They need someone reliable during the 8 hours when most customers write in.
