Multichannel Support for a Supplement Brand in Rapid Growth
A premium longevity supplement brand was growing fast, and its inbox couldn’t keep up. Customer messages arrived on six different channels at once. Product questions, order tracking and refund requests piled up, and the founders were spending their days answering them instead of growing the business.
| Industry | Health and wellness supplements |
|---|---|
| Services | Email and social media support, marketplace messages, warehouse coordination |
| Channels | Email, WhatsApp, Facebook, Instagram, Etsy, Amazon |
| Tools | Shopify, Zendesk, WhatsApp |
| Duration | 6+ months and ongoing |
The challenge
Rapid growth brought a surge of customer messages, spread across email, WhatsApp, Facebook, Instagram, Etsy and Amazon. Each channel had its own inbox and its own rules. Nobody owned the whole picture, so replies were slow and customers sometimes got different answers in different places.
What we did
1. Took full ownership of customer support
One team now handles every channel, so nothing falls through the gaps between platforms. All conversations are managed in Zendesk alongside the Shopify store.
2. Answered with care
Supplement customers ask detailed questions about ingredients, use and their orders. Agents answer product questions from the brand’s approved information, track orders, and process refunds and replacements. Anything that needs a medical opinion goes back to the customer’s own doctor. We never give health advice.
3. Worked hand in hand with the warehouse
We coordinate directly with the warehouse and shipping teams, so customers get accurate updates and fulfillment problems are caught early instead of discovered by angry customers.
4. Kept one consistent voice
Whether a customer writes on Instagram or Amazon, they get the same helpful tone and the same standard of service.
Results
- Shorter response times across all six channels
- Higher customer satisfaction
- Smoother operations between support, warehouse and shipping
- A long-term partnership, running for more than 6 months
What other stores can learn from this
Selling on more channels means more places customers can be ignored. Put one team in charge of all of them, and connect that team to your warehouse. Most “where is my order?” messages disappear once customers get accurate updates first. See how we work with health and wellness brands.
